Key card – Auto post service when post Lost key

Aim: when guest lost key that assigned when checking in, Fo staff will inform guest and charge the fee on system 

1. Add “Lost key charge transaction type” > other information > Hotel/ Apartment config > Config 

Navigation: Config > Hotel/ Apartment > Other information section, add a droplets of Lost key charge transaction type to select the transaction type for lost key service 

2. How to post “Key lost” service

2.1 At Room > Key Room

click a “Lost key” icon to show “Confirm and post lost key charge” pop up to select how to charge (Charge a Lost key fee / No charge) and fulfill amount, page and notice > Save

2.2 CRM > Key card

click a “Lost key” icon to show “Confirm and post lost key charge” pop up to select how to charge (Charge a Lost key fee / No charge) and fulfill amount, page and notice > Save

2.3 List reservation > popup “Smart lock”

Navigation: Room > List reservation, search and select booking code then click “Smart lock” button

click a “Lost key” icon to show “Confirm and post lost key charge” pop up to select how to charge (Charge a Lost key fee / No charge) and fulfill amount, page and notice > Save

2.4 Group reservation > popup “Smart lock”

Navigation: Room > List reservation group

click a “Lost key” icon to show “Confirm and post lost key charge” pop up to select how to charge (Charge a Lost key fee / No charge) and fulfill amount, page and notice > Save

Result: After post at (2.1), (2.2), (2.3), (2.4), the transaction of Key lost will be under Folio of Booking detail:

3. reports

After posting the transaction of key lost, it will display in reports, including:

• Total transaction report
• Revenue include/ exclude tax report
• Hotel revenue detail report
• Balance của booking:
  • Guest balance report 
  • List reservation 
  • Reservation details > Tab Folio 
  • Cashier > Transaction 
  • Arrival/ Departure/ Actual walk-in/ Revenue for company, Travel agent/ Revenue for Market segment/ Night audit report
