Change the reservation type for booking

Before making any changes, let’s clarify the 3 main reservation types:

  • Definite: The guest is 100% confirmed to check-in. Typically managed by the management or marketing teams.
  • Tentative: There is a 50% chance the guest will check-in. Typically this applies to bookings made over the phone.
  • Waiting: This backup booking is used when all rooms are fully reserved. It does not count towards room occupancy and becomes active only if a Definite or Tentative booking is canceled, freeing up a room.

You can change the reservation type for booking from List reservations, and the detailed booking.

1. Change reservation type from List reservations tab

Step 1: Under List reservations (1), find and select the booking you want to change type (2).

Step 2: Click the Change type button (3), then select the type you want to change for booking.

2. Change reservation type from the detailed booking

Step 1: Under List Reservations (1), find and select the booking you want to change type (2).

Step 2: Under the Room detail tab, locate the Type field (2), then select the type you want to change for booking.

Step 3: Click the Save button (3) to confirm the change.

Important notes

  • If the guest has not arrived yet, you may change the type from Definite to another type, such as Tentative, Waiting, or Cancel.
  • If the guest cancels their booking, the reservation type should be changed to Cancel.
  • If the reservation type is updated to Checked-inChecked-out/ Cancel, it cannot be changed back to any other type.
  • Reservations with financial transactions cannot be canceled. However, they can be marked as No-Show, but this can only be done during the Night Audit process.
